Medical Student Program Coordinator

The Program Coordinator for Medical Education assists the DIO and System Director ensuring that educational activities that support the curriculum are established, departmental policies are created and enforced.  Demonstrates problem solving, decision-making skills, organizational skills, attention to detail, and ability to maintain confidentiality.  Requires independent judgment and ability to handle stressful situations and highly confidential information.  Occasional after hours, evening and/or weekend work required.

REPORTING RELATIONSHIPS:

Reports to: System Director, Graduate Medical Education and Designated Institutional Officer

  1. Functions as the support person to Department Chairman, Program Director, program liaison to education administration, faculty, residents, medical students, and other educational staff.
  2. Functions as liaison between medical students, residents, departments, attending physicians, administration and outside institutions. 
  3. Supports the corporate mission, vision and values of the medical education program. 
  4. The position ensures that the program is maximizing the educational experience by supporting faculty and staff in the development and of the medical education program.            

Essential Functions & Duties:

  • Processes student documents for core and elective rotations.
  • Reviews student health records including health assessment and immunization records to meet requirements. Active follow-up on outstanding documents needed to begin clerkships. Works with RUSM’s Coordinator to ensure all RUSM students are credentialed and can begin clinical clerkships.
  • Obtain all requisite paperwork from RUSM and submit to participating hospitals, as appropriate.
  • Maintains files of medical students to the medical education program.

Student Activities

  • Assesses the accuracy and completeness of Clinical Clerkship Evaluation Forms received from faculty.
  • Prepare and assist with student orientation to include but not limited to ID badge, computer access, parking lot assignment.
  • Prepare and send out all necessary correspondence with RUSM students
  • Gives timely feedback on emerging student needs and supports the development of innovative solutions to meet them, working closely with the clinical advisement team in solving unique and complex problems with broad impact to student satisfaction.
  • Documents appropriate procedures, instructions, and rules to share knowledge and create standards for operations.
  • Handles complex personnel and operating details as assigned.
  • Maintain and update medical student database.
  • Verify that student credentials and licenses are kept current.
  • Coordinates student rotation schedules, conferences, seminars etc. in collaboration with program directors, system director, DIO, and RUSM.
  • Completing system access forms to on-board and off-board medical students.
  • Prepare, distribute for signature and monitor return of medical student final evaluation forms from faculty.

Evaluation

  • Generate medical student final evaluation by rotation.
  • Monitor medical student evaluation compliance.
  • Generate evaluation reports for faculty, medical students, and rotations.

Program

  • Provides confidential secretarial and administrative services for the DIO and System Director.
  • Coordinates end-of-year activities. Organizes and facilitates special functions. Organize and coordinate all medical student program social events.
  • Attends departmental meetings, taking minutes, and preparing same for distribution.
  • Works closely with RUSM Administration.
  • Coordinates orientation for new medical students.
  • In conjunction with DIO, program directors, and RUSM, coordinates the master medical student rotation schedule.
  • Coordinates all DIO correspondence.
  • Completes verifications for graduates.

Job Requirements

MINIMUM EDUCATION:

Associate Degree in related field; Bachelors degree preferred; four (4) years healthcare work experience may substitute for educational requirement.

SKILLS, KNOWLEDGE AND ABILIITIES:

Computer technology and modern information services including on-line databases, internet communication and teleconferencing to fulfill the requirements of a modern academically oriented department.

•             Transcribe dictation.

•             Ability to write routine reports and correspondence.

•             Must be able to organize work load and prioritize activities.

•             Ability to speak effectively before groups.

•             Ability to work out problems of medium difficulty without much direction.

•             Excellent listening skills, excellent presentation skills, and positive attitude

•             Microsoft Word, Excel, PowerPoint, Outlook, and other programs required by the Dept. of Ed.               

•             Excellent written and verbal and interpersonal skills

•             Organizational abilities to coordinate

•             Knowledge of licensing regulations for both temporary and permanent physician license in the State.

•             Familiarity with NBME, ECFMG/USMLE guidelines and other pertinent policies and procedures necessary for licensure of international medical graduates (IMGs) desirable. 

•             Ability to make decisions based on sound judgment and discretion while working under pressure. Ability to independently problem solves.

•             Ability to be flexible and work well in a variety of situations.

•             Supervises and directs the work-flow as necessary regarding administrative paperwork, records and complex filing systems to support program maintaining confidentiality.
